1Who this covers
This policy explains how Matthew Majeika, doing business as Kingdom Fit Strength Training ("I", "me"), collects, uses and shares personal information. It covers visitors to kingdom-fit.com, people who send an inquiry, and coaching clients. I run this business myself, so I'm the one who sees your information and the one responsible for it.
2What I collect
| Category | What it includes | Where it comes from |
|---|---|---|
| Contact details | Name, email address, phone number if you give it, X handle if you contact me there | You: the inquiry form, email, onboarding |
| Inquiry details | The plan you're interested in and anything you write in the form | You |
| Health and training history | Injuries, medical conditions, medications, surgeries, pregnancy, anything a doctor has told you about exercise, age, sex, height, bodyweight, training background, schedule and equipment | You: the onboarding questionnaire and our messages |
| Training data | Workout logs, sets, reps and loads, assessment results, check-in answers, notes on how sessions felt, sleep or recovery information you choose to report | You, through the TurnKey Coach app |
| Videos and photos | Footage of your lifts and any photos you send, which may show your face, body, and your surroundings | You |
| Communications | Messages, emails, and my notes from our calls | You and me |
| Billing information | Plan, price, payment dates and status. Card numbers are handled by Stripe. I never see or store them. | Stripe, through TurnKey Coach |
| Agreement records | Which version of the Coaching Terms you accepted, and when | Onboarding |
| Website usage | Pages visited, referring site, country, browser and device type, gathered in aggregate. Standard server logs, including IP address, kept by my web host | Your browser |
You don't have to give me health information. But I can't safely program for an injury or condition I don't know about, and the Coaching Terms ask you to tell me.
3How I use it
- To answer your inquiry and decide together whether coaching is a fit.
- To write and adjust your programming, review your logs and videos, and message you about what I find.
- To take your health history into account for safety.
- To bill you, and to handle cancellations and billing questions.
- To keep records of our agreement and of the coaching I provided, and to establish, exercise or defend legal claims.
- To see, in aggregate, how people find and use the website.
- To comply with the law.
I'll only email you about coaching and your account. If I ever start a newsletter, I'll ask you before adding you to it.
4Who I share it with
I use a few service providers to run the business. Each gets only what it needs to do its job for me:
| Provider | What it does | What it handles |
|---|---|---|
| TurnKey Coach | Coaching app: programming, logs, videos, messages, questionnaires, subscriptions | Nearly all client information |
| Stripe | Payment processing | Payment and billing details |
| Formspree | Receives the website inquiry form and filters spam | Inquiry form contents |
| Fastmail | Email for coach@kingdom-fit.com | Anything you email me |
| Bluehost (and its Cloudflare network) | Website hosting, delivery and security | Server logs, IP addresses |
| Cloudflare Web Analytics | Aggregate website statistics | Page views, referrer, country, device type |
| Video-call provider | Monthly calls on plans that include them | Call connection data |
I'll also disclose information if the law requires it (for example, a valid subpoena or court order), when I need to establish or defend a legal claim, or when I believe in good faith it's needed to protect someone from serious harm. If I ever hand the Coaching over to another coach, I'll tell you first and give you the chance to have your information deleted rather than transferred.
5What I don't do
- I don't sell personal information, for money or anything else, and I never have.
- I don't share it with advertisers or data brokers, and I don't use it for targeted advertising.
- I don't use your information to make automated decisions about you.
- I don't publish anything of yours without written permission each time: no videos, photos, numbers, results, name or quotes. You can withdraw permission for future use at any time.
6Cookies and analytics
The website doesn't set advertising or tracking cookies. It uses Cloudflare Web Analytics, which counts visits without cookies and isn't used to follow you across other sites. My host's security service and the inquiry form's spam protection may set short-lived cookies that are strictly needed to keep out bots. The TurnKey Coach app uses its own cookies to keep you logged in. Those are covered by TurnKey Coach's own policies.
Do Not Track and Global Privacy Control: I don't track visitors across other sites, so these browser signals don't change anything on this site.
7How long I keep it
- Inquiries that don't become coaching: deleted within 12 months.
- Client records (health history, logs, videos, messages, agreement records and billing history): kept while you're a client and for four years after coaching ends. Rhode Island allows personal-injury claims to be brought up to three years after an injury, so I need these records for that period, plus a margin. Tax records are kept as long as tax law requires.
- Earlier deletion: you can ask me to delete your videos or other information sooner, and I will, unless I'm keeping it because of a pending or reasonably expected claim or dispute, or because the law requires it. If I keep something for that reason, I'll tell you what and why.
8How I protect it
Your information stays in accounts protected by strong, unique passwords and two-factor authentication where offered. The website is served only over HTTPS. I don't download client videos or health information to shared or unsecured devices. No system is perfectly secure. If a breach affects your personal information, I'll notify you as Rhode Island's Identity Theft Protection Act and any other applicable law require.
9Your rights
Wherever you live, you can ask me to:
- tell you what personal information I hold about you and give you a copy, including your logs and videos;
- correct anything inaccurate;
- delete your information, subject to the limits in Section 7;
- stop sending you anything other than messages needed to run your coaching.
Email coach@kingdom-fit.com from the address I have on file. If you write from a different address, I may ask you to confirm your identity. I'll respond within 45 days, and usually much sooner. If I decline a request, I'll explain why, and you can ask me to reconsider by replying to that email. Using these rights costs nothing, and it won't change how I treat you as a client.
Some states give residents specific privacy rights. I'll honor them wherever they apply, and I'll extend the same rights to everyone.
10Consumer Health Data Privacy Policy
This section is my consumer health data privacy policy for residents of Washington, Nevada, and any other state with a consumer health data law. It applies the same way to every client.
Categories of consumer health data I collect: injuries, medical conditions, medications, surgeries, pregnancy status, physician guidance about exercise, bodyweight and body measurements, training performance and recovery data, symptoms or pain you report, and videos and photos of your body in training.
Sources: directly from you, through the onboarding questionnaire, the TurnKey Coach app, email and calls.
Purposes: only to provide the coaching you've asked for, including safe programming, technique feedback and check-ins. I also keep records of the coaching I provided, as described in Section 7.
Sharing: only with the service providers listed in Section 4 that store or transmit it for me (TurnKey Coach, Fastmail, and the video-call provider). They act on my instructions. I don't share consumer health data with anyone else without your separate consent, except where the law requires it. I never sell consumer health data.
Consent: I collect only the health data necessary to provide the coaching you request. If I ever want to collect or share it for any other purpose, I'll ask for your specific consent first, and you can withdraw it at any time.
Your rights: you can confirm whether I hold your consumer health data, get a copy of it and a list of everyone it has been shared with, withdraw consent, and have it deleted. Email coach@kingdom-fit.com. I'll respond within 45 days. If I deny a request, you can appeal by replying to my decision, and I'll answer the appeal within 45 days. If you're a Washington resident and still aren't satisfied, you can contact the Washington State Attorney General.
Geofencing: I don't use geofencing of any kind.
11Children
Coaching is only for adults 18 and over, and the website isn't directed at children. I don't knowingly collect information from anyone under 18. If I find I have, I'll delete it.
12Changes and contact
If I change this policy, I'll update the version and effective date at the top. If a change is material, I'll email current clients before it takes effect. I won't use information I've already collected in a materially different way without your consent.
